Is the documentation adequate?

For AstraZeneca organized events you should check meeting invitations, the agenda, the venue and subsistence costs and all associated materials e.g. handouts, workshop materials etc. Also check the justification for the choice of venue, the travel arrangements and any accommodation being offered.

For third party meetings sponsored by AstraZeneca it is not always necessary to check speaker slides and the details of the meeting content, but you should consider the suitability of the venue, hospitality and the content generally. If for example a company pays an honorarium for a particular speaker at a third party meeting, then it could be held responsible for that particular speaker’s presentation content.

All of these aspects should be fully documented.

 

Are the costs acceptable?

In some countries there are very specific limits on allowable costs per head for various aspects of hospitality.

If it is an international meeting be aware that limits may apply from the home country of the HCPs attending, not just the limits of the country where the meeting is held.

Check your local regulations where applicable.

 

Are the content and arrangements appropriate for the target audience?

It is important to check the nature of the audience and in countries where promotion to the general public is not allowed you need to check the arrangements carefully to ensure that access by the public is adequately restricted.

Has the involvement of AstraZeneca been made clear?

The level of involvement of pharmaceutical companies should always be clear from the outset. Similarly delegates should not be misled as to the nature of a meeting.
